The Executive Assistant role at GM Ventures is a pivotal position that requires a high level of precision, coordination, and collaboration. The successful candidate will be responsible for managing a wide range of tasks that are essential to the smooth operation of the office. This includes overseeing schedule and calendar management, preparing meeting agendas, facilitating staff communications, coordinating travel arrangements, managing expenses, and planning events. The ideal candidate will possess a keen interest in the business, an unwavering attention to detail, strong organizational and analytical abilities, exceptional communication skills, discretion, efficiency, and advanced proficiency in the Microsoft Office suite. In this role, the Executive Assistant will manage an active calendar of appointments, understanding the priority and urgency of tasks, and reorganizing schedules as necessary. They will coordinate complex meetings that may involve participants from a global footprint and handle travel planning with a focus on efficiency and cost-effectiveness. The role also involves expediting the handling of correspondence and phone calls while maintaining a high level of discretion and professionalism in all communications, both internally and externally. The Executive Assistant will utilize the Microsoft Suite (Word, Excel, PowerPoint) to prepare, modify, and proofread presentation materials, spreadsheets, and communications. They will be expected to complete various assignments with minimal direction, including meeting planning, organizing employee recognition events, and managing special projects. Maintaining records and confidential files is also a critical aspect of this role, along with continuously seeking ways to improve the efficiency of daily tasks. The position will support travel arrangements, expense reviews, and reporting, as well as handle department purchases while identifying cost-saving opportunities. Additionally, the Executive Assistant will facilitate and participate in all weekly team meetings and some subject-specific meetings, ensuring that all necessary information is communicated effectively.

Responsibilities

  • Manage an active calendar of appointments, understanding priority/urgency, and reorganizing appropriately.
  • Coordinate complex meetings (global footprint) and travel planning.
  • Expedite handling of correspondence and phone calls while maintaining a high level of discretion and communicating professionally both internally and externally.
  • Use Microsoft Suite (Word, Excel, PowerPoint) to prepare, modify and proof-read presentation materials, spreadsheets, and communications.
  • Complete various assignments as requested with minimal direction, including meeting planning, employee recognition events, and special projects.
  • Maintain records and confidential files.
  • Continuously look for ways to improve efficiencies of daily tasks.
  • Support travel arrangements, expense reviews, and expense reporting.
  • Handle department purchases while using self-judgment for cost-saving opportunities.
  • Facilitate and participate in all weekly team meetings and some subject-specific meetings.

Requirements

  • Bachelor's degree in business or related field.
  • 5+ years' experience, preferably with exposure to executive leadership in an administrative capacity.
  • Prior exposure to the business aspects of Venture Capital and Finance.
  • Advanced level of proficiency in COE software (MS Suite, scheduling, internet, Outlook, and knowledge of SharePoint).
  • Proven planning and organizational skills.
  • Proven analytical and problem-solving skills using independent thought and decisiveness.
  • Demonstrated ability to take initiative and work independently.
  • Strong verbal and written communication skills, including knowledge of grammar, spelling, and punctuation.
  • Strong sociability skills.
