About the position

The Executive Assistant at Good Samaritan Hospital plays a crucial role in providing comprehensive administrative support to the Vice Presidents of WellSpan. This position is designed to enhance the effectiveness and efficiency of the executives by managing their schedules, preparing necessary materials, and facilitating communication with various stakeholders, including community leaders and job candidates. The Executive Assistant is expected to maintain a high level of confidentiality and professionalism while fostering strong relationships with the executives they support. In this role, the Executive Assistant will be responsible for managing complex calendars, ensuring that executives are well-prepared for meetings, and anticipating their needs. This includes reviewing calendars weekly and making necessary adjustments, preparing meeting materials, and organizing events. The Executive Assistant will also be involved in travel arrangements and will actively participate in team meetings and professional development sessions. The position requires a proactive approach to problem-solving and a commitment to continuous improvement through the use of data and Lean thinking methodologies. The Executive Assistant will report to the Manager of Executive Services and will collaborate with other team members to share best practices and contribute to the overall success of the Executive Services Network. This role is essential in creating a positive and inclusive work environment while practicing fiscal responsibility and supporting the organizational culture of WellSpan.

Responsibilities

  • Develop strong, high functioning relationships with the executive clients to ensure their needs are met.
  • Maintain strict confidentiality of sensitive information.
  • Manage complex calendaring for clients to prioritize meetings and ensure adequate travel time.
  • Review calendar with executive clients weekly and daily for adjustments.
  • Anticipate needs of executives and provide necessary information for their success.
  • Prepare meeting materials for both internal and external meetings as needed.
  • Organize and provide assistance during events.
  • Prepare PowerPoint presentations, reports, memos, etc. for executive clients.
  • Make travel arrangements following WellSpan policies.
  • Participate in team huddles, staff meetings, and learning sessions.
  • Use data and Lean thinking to improve processes and drive process improvements.
  • Provide backup coverage for other team members and fulfill building duties as assigned.
  • Contribute to a collaborative, professional, safe, inclusive, and positive work environment.

Requirements

  • High School Diploma or GED Required
  • Associates Degree Preferred
  • 4 years of relevant experience required
  • Business Administration experience required
  • Experience as an Executive Assistant preferred
  • Experience with Outlook and Calendar Management
  • Healthcare experience is a plus
  • Outstanding written and verbal communication skills
