About the position

The Executive Assistant position is a critical role that provides comprehensive administrative support to corporate executives and senior management staff. This position requires a high level of discretion and professionalism, as it involves handling confidential corporate matters and interacting with various stakeholders, including management, employees, and visitors. The Executive Assistant will be responsible for making all travel arrangements for the executive staff, which includes coordinating schedules, monitoring travel expenditures, and processing reimbursements. Additionally, the role involves distributing all incoming and outgoing correspondence and mail, ensuring that communication flows smoothly within the organization. In this position, the Executive Assistant will also coordinate executive meeting schedules and assist in the planning of meetings and events. This includes preparing agendas, taking minutes, and ensuring that all necessary materials are available for meetings. The role requires performing purchasing and accounting functions, such as acquiring supplies and processing invoices and check requests for payment preparation. The Executive Assistant will provide professional handling of executive visitors, including members of the Board of Directors, state and federal legislators, customers, investors, and vendors, ensuring that all interactions are conducted with the utmost professionalism and courtesy. Overall, the Executive Assistant plays a vital role in supporting the executive team and ensuring that the administrative functions of the corporate office run efficiently and effectively.

Responsibilities

  • Performs a wide variety of highly skilled administrative support functions for the Corporate executives and senior level management staff.
  • Handles confidential corporate matters in a discrete manner while dealing effectively with all management, employees, and visitors.
  • Makes all travel arrangements for the executive staff, coordinating schedules and monitoring travel expenditures and reimbursements.
  • Distributes all incoming and outgoing correspondence and mail.
  • Coordinates executive meeting schedules and assists in planning of meetings and events.
  • Performs purchasing and accounting functions such as the acquisition of supplies and processing of invoices and check requests for payment preparation.
  • Provides professional handling of executive visitors including members of the Board of Directors, state and federal legislators, customers, investors, and vendors.

Requirements

  • 5+ years of executive secretarial experience
  • Excellent organizational skills
  • Superior Word, Excel, PowerPoint and Internet skills
  • Ability to work flexible work hours when required
  • Ability to deal professionally with executives, management, employees, and visitors
  • AS/AA degree in a related field
  • Secretarial certification
  • 3+ years as an executive secretary or administrative assistant in a corporate environment
