About the position

The Executive Assistant to the Head of Production & Operations plays a crucial role in ensuring the smooth operation of the team by managing a high volume of tasks that include complex calendar management, frequent coordination with assistants both inside and outside the company, and various bespoke initiatives. This position requires an enthusiastic, team-oriented approach, as well as the ability to build effective working relationships within the organization and maintain a comprehensive understanding of the team's objectives. The ideal candidate will thrive in a fast-paced environment and possess a positive attitude, even under pressure. In this role, the Executive Assistant will be responsible for developing and maintaining day-to-day schedules, prioritizing activities with good judgment and business understanding, and proactively identifying and resolving scheduling conflicts. The position also involves managing domestic and international travel itineraries, expense reports, and tracking the completion of key deliverables while following up on outstanding items as needed. Additionally, the Executive Assistant will oversee the onboarding process and space management for a growing team, as well as manage all administrative support functions, including meeting preparation, supply ordering, and team event coordination. The Executive Assistant will also be tasked with planning and maintaining an annual calendar of events and schedules, as well as maintaining organization charts. This role is integral to the success of Amazon MGM Studios, which is dedicated to producing original content and licensing studio programs worldwide for Amazon's Prime Video customers. Responsibilities

  • Develop and maintain day-to-day schedules, prioritizing activities with good judgment and business understanding.
  • Proactively identify and resolve scheduling conflicts.
  • Manage domestic and international travel itineraries and expense reports.

Requirements

  • 2+ years of professional or military experience.
  • 1+ years of working with computers and Microsoft Office products and applications experience.
  • High school diploma or equivalent.
  • Ability to work 40 hours/week, and overtime as required.
  • Must be 18 years of age or older.
