About the position

The Executive Assistant II will provide comprehensive administrative support to the Senior Vice President of Human Resources and potentially one additional member of the team at the VP level. This role encompasses a variety of tasks, including but not limited to calendar management, preparing and tracking expense reports, making travel arrangements, and monitoring the annual business travel for accounting and tax purposes on a monthly basis. The Executive Assistant will also coordinate team events and offsites, as well as prepare meeting materials. The ideal candidate for this position is a detail-oriented individual who can achieve results in an executive environment, demonstrating the ability to maintain confidentiality and manage high-level relationships with sensitivity. In this role, the Executive Assistant will assist the Executive in providing a wide range of administrative support functions tailored to the needs of the assigned Executive(s). Specific functions may include coordinating and maintaining Outlook calendars, gathering and abstracting materials for meetings and presentations, administering travel arrangements, and managing travel and entertainment expense reports. The Executive Assistant will also be responsible for reviewing and categorizing incoming correspondence, preparing routine correspondence, coordinating team events, and answering and screening incoming calls. The position requires the Executive Assistant to coordinate the administration, logistics, and workflow for the assigned Executive(s). Maintaining the highest standards of confidentiality and tact is essential, as is the ability to operate collaboratively and build trusting relationships with the Executive(s), partners, and stakeholders. The Executive Assistant will interact with a wide variety of ESPN and external contacts on behalf of the assigned Executive(s) and will serve as a point of contact for all HR department needs, including ordering supplies and managing conference rooms and calendars.

Responsibilities

  • Assists the Executive in providing a wide range of administrative support functions focused upon the needs of the assigned Executive(s)
  • Conducts a wide range of assignments derived from the duties and responsibilities of the Executive(s) served
  • Coordinates and maintains Outlook calendars
  • Gathers and abstracts materials for meetings and presentations
  • Administers travel arrangements and manages travel and entertainment expense reports
  • Reviews and categorizes incoming correspondence
  • Prepares routine correspondence

Requirements

  • At least 5 years of related executive administrative support in generally comparable functions
  • Strong organizational skills and the ability to pay close attention to detail while balancing multiple, simultaneous requests
  • Proficient in Microsoft Office applications, with the ability to quickly learn any HR-specific databases used by the executive(s) supported
  • Advanced verbal and written communication skills, with a high sensitivity to the purposes and motivations of the persons desiring contact with the assigned executive(s)
  • Ability to work effectively with a diverse group

Nice-to-haves

  • Ability to speak and write Spanish is preferred
  • Demonstrates time management, conflict management, business acumen, planning and execution, flexibility, and the ability to identify new ways of working
