About the position

Volt is seeking an Executive Assistant (Human Resources) to join our team in Lake Buena Vista, FL. This role is pivotal in supporting the Enterprise Benefits Executives and overseeing the overall Benefits and Well-being programs for the entire organization. The successful candidate will play a crucial role in empowering employees to enhance their quality of life, enabling them to perform their best both at work and at home. The Executive Assistant will be responsible for managing the functional and organizational needs of the team in a dynamic and fast-paced environment. This position requires a candidate who is technologically savvy, possesses outstanding grammar and spelling skills, and demonstrates exceptional organizational abilities and attention to detail. In this role, you will provide day-to-day administrative support to the Enterprise Benefits Executives, which includes managing complex calendars across multiple time zones, reviewing schedules to allocate time for preparation and travel, and quickly pivoting to reschedule plans when conflicts arise. You will draft professional correspondence on behalf of your leaders, plan and create travel itineraries while considering various factors such as time zones and potential delays, and interact with a diverse range of internal and external partners on behalf of the leadership team. Additionally, you will be responsible for various administrative tasks, including answering phone lines, arranging office access, performing data entry, composing correspondence, and ordering supplies. You will also plan smaller-scale team gatherings, onboard new employees, manage office supplies and vendor contracts, and collaborate effectively with peers to ensure smooth office operations. The role requires creating and formatting PowerPoint presentations and Microsoft Word documents for executive audiences, drafting meeting agendas, and triaging benefits-related mail. As a backup, you may also provide support for the gym front desk. This is a full-time, 4-month hybrid contract opportunity, requiring onsite work from Monday to Thursday and remote work on Fridays. The ideal candidate should have at least three years of experience supporting a Director or above, possess strong written and verbal communication skills, and be able to prioritize tasks effectively in a fast-paced environment. Proficiency in Microsoft Office programs and other relevant software is essential, along with a genuine desire to assist leaders and co-workers, strong attention to detail, and the ability to manage multiple projects calmly and efficiently.

Responsibilities

Requirements

  • At least three years supporting a Director or above, or equivalent experience
  • Ability to handle highly confidential and sensitive information
  • Sharp written and verbal communication skills, including clean grammar
  • Ability to prioritize tasks in a fast-paced environment
  • Strong proficiency with computers, phones, and office equipment
  • Advanced proficiency in Microsoft Office programs including Outlook, Word, PowerPoint, and Excel
  • Strong skills in SAP, Sharepoint, Concur, Slack, and Zoom
