About the position

Volt is hiring for an Executive Assistant (Human Resources) in Lake Buena Vista, FL. As an Executive Assistant, you will play a crucial role in overseeing the overall Benefits and Well-being programs for the entire Enterprise. This position is designed to empower our employees to enhance their quality of life, enabling them to perform their best both at work and at home. The successful candidate will effectively lead the functional and organizational needs of the team in a fast-paced environment, demonstrating strong technological skills, outstanding grammar and spelling, and exceptional organization and attention to detail. In this role, you will provide day-to-day administrative support to Enterprise Benefits Executives. Your responsibilities will include managing complex calendars across multiple time zones, reviewing schedules to allocate time for preparation and travel, and quickly pivoting to reschedule plans when conflicts arise. You will draft professional correspondence on behalf of your leaders and plan travel itineraries while considering various factors such as time zones, weather delays, and fatigue levels. Additionally, you will interact with a wide variety of internal and external partners on behalf of leadership and the team, providing necessary administrative and office support. You will also be responsible for onboarding new employees, acting as a friendly guide for team members, and managing office supplies, invoices, purchase orders, and vendor contracts. Collaboration with peers will be essential to ensure effective distribution of work and office coverage. You will create and format PowerPoint presentations and Microsoft Word documents for executive audiences, draft meeting agendas, and triage benefits mail to the appropriate parties. This position also includes backup support for the gym front desk. This is a full-time, 4-month hybrid contract opportunity, requiring onsite work Monday through Thursday and remote work on Fridays.

Responsibilities

  • Provide day-to-day administrative support to Enterprise Benefits Executives
  • Manage complex calendars over multiple time zones
  • Review each leader's schedule to build in time for preparation and travel
  • Reschedule plans quickly when pressing conflicts arise
  • Draft professional correspondence on behalf of leaders
  • Plan and create travel itineraries considering various factors
  • Interact with internal and external partners on behalf of leadership
  • Provide administrative and office support as required
  • Plan smaller-scale team gatherings
  • Onboard new employees and answer their questions
  • Purchase office supplies and manage invoices, purchase orders, and vendor contracts
  • Partner with peers to ensure effective distribution of work
  • Create and format PowerPoint presentations for executive audiences
  • Create Microsoft Word documents for high-level audiences
  • Draft agendas for various meetings
  • Triage benefits mail to the right parties
  • Provide backup support for gym front desk

Requirements

  • At least three years supporting a Director or above, or equivalent experience
  • Ability to handle highly confidential and sensitive information
  • Sharp written and verbal communication skills, including clean grammar and a robust vocabulary
  • Ability to prioritize tasks in a fast-paced environment
  • Strong proficiency with computers, phones, and office equipment
  • Advanced proficiency in Microsoft Office programs including Outlook, Word, PowerPoint, and Excel
  • Strong skills in SAP, Sharepoint, Concur, Slack, and Zoom
  • Resourcefulness to learn new applications as needed
  • Genuine desire to be helpful to leaders and co-workers
  • Highly detail-oriented and organized, with strong proofreading skills
  • Ability to lead multiple projects, tasks, and deadlines while remaining composed
  • Availability to work overtime without prior notice
  • Professional demeanor, positive outlook, and a can-do attitude
