About the position

Volt is hiring for an Executive Assistant (Human Resources) in Lake Buena Vista, FL. As an Executive Assistant, you will play a crucial role in overseeing the overall Benefits and Well-being programs for the entire Enterprise. This position is designed to empower our employees to enhance their quality of life, enabling them to perform their best both at work and at home. The successful candidate will effectively lead the functional and organizational needs of the team in a fast-paced environment. In addition, the candidate will demonstrate strong technological skills, outstanding grammar and spelling, and exceptional organization and attention to detail. In this role, you will provide day-to-day administrative support to Enterprise Benefits Executives. You will thoughtfully manage complex calendars across multiple time zones, ensuring that each leader's schedule includes adequate time for preparation and travel. When pressing conflicts arise, you will pivot quickly to reschedule a carefully planned day. You will also draft professional correspondence on behalf of your leaders and plan and create travel itineraries, taking into account various factors such as time zones, weather delays, traffic, and fatigue levels. Your responsibilities will include interacting with a wide variety of internal and external partners on behalf of leadership and the team, providing administrative and office support as required, such as answering phone lines, arranging office access, performing data entry, composing correspondence, and ordering supplies. You will also plan smaller-scale team gatherings and onboard new employees, acting as a friendly guide for team members who have questions. Additionally, you will manage the purchase of all office supplies for the department, handle invoices, purchase orders, and vendor contracts, and partner effectively with peers to ensure the efficient distribution of work and office coverage. You will create and format PowerPoint presentations for executive audiences and draft agendas for various meetings and audiences. Furthermore, you will triage benefits mail to the appropriate parties and provide backup support for the gym front desk.

Responsibilities

Requirements

  • At least three years supporting a Director or above, or equivalent experience
  • Demonstrated ability to handle highly confidential and sensitive information
  • Sharp written and verbal communication skills, including clean grammar and a robust vocabulary
  • Ability to prioritize tasks in a fast-paced environment
  • Strong proficiency with all types of computers, phones, and office equipment
  • Advanced proficiency in Microsoft Office programs including Outlook, Word, PowerPoint, and Excel
  • Strong skills in SAP, Sharepoint, Concur, Slack, and Zoom
  • Resourcefulness to learn new applications as needed
  • Genuine desire to be helpful to leaders and co-workers
  • Highly detail-oriented and organized, with strong proofreading skills
  • Ability to lead multiple projects, tasks, and deadlines while remaining composed
