About the position

The Executive Assistant to Human Resources at the University of Massachusetts Dartmouth provides high-level administrative support to the Vice Chancellor and Associate Vice Chancellor for Human Resources. This role requires exceptional confidentiality, discretion, and customer service skills, as the assistant will handle sensitive personnel issues and financial matters. The position involves managing complex calendars, coordinating meetings, tracking budgets, and assisting in labor relations matters, all while maintaining a positive and adaptable presence within the team.

Responsibilities

  • Provides administrative support to the Vice Chancellor and Associate Vice Chancellor, including scheduling meetings and coordinating calendars.
  • Organizes meeting materials and ensures logistical preparations are in place for meetings.
  • Coordinates elements of the Vice Chancellor's correspondence and reviews matters with a high degree of confidentiality.
  • Monitors Salesforce cases and responds to inquiries in a timely manner.
  • Manages HR budget, including monitoring spending accounts and reconciling transactions.
  • Prepares and processes payments, invoices, and reports, ensuring accuracy and timely payments.
  • Assists with planning and implementing HR-sponsored events and makes recommendations for improvements.
  • Coordinates travel arrangements for the Vice Chancellor and Associate Vice Chancellor, including payments and expense reports.
  • May take minutes at confidential meetings and compose drafts for correspondence.
  • Coordinates HR internal events and activities, including scheduling and logistics.

Requirements

  • Bachelor's Degree or equivalent combination of education, training, or experience.
  • Significant experience providing high-level administrative support to senior leadership in a high visibility environment, preferably in higher education.
  • Strong interpersonal and customer service skills.
  • Ability to manage a complex calendar with high accuracy.
  • Proficiency in Microsoft Office, especially Outlook, Word, Excel, and PowerPoint.
  • Ability to analyze financial reports and perform accounting tasks.

Nice-to-haves

  • Knowledge of PeopleSoft HR and Financial systems.
  • Familiarity with Salesforce and Qualtrics or other survey tools.
