About the position

We are seeking an experienced Executive Assistant to join one of Atlanta's premier CPA firms. This position offers a hybrid remote work schedule, providing flexibility for the right candidate. The ideal Executive Assistant will have at least five years of experience and will be exceptionally well-organized, flexible, and capable of handling the administrative challenges that come with supporting a large department, including Principals and Senior Managers. The role requires a professional who can interact confidently with staff at all levels while managing a fast-paced and time-sensitive work environment. The responsibilities of the Tax Executive Assistant are diverse and include processing a high volume of tax returns, extensions, and estimates through various delivery methods, including paper, electronic, and client portals. The Executive Assistant will also be responsible for revising, drafting, or formatting correspondence and presentations, managing the annual distribution of tax organizers and tax engagement letters, and maintaining due date reports for team members, ensuring accuracy through necessary follow-ups. Additionally, the role involves managing and organizing calendars, scheduling both internal and external meetings, and coordinating meals when necessary. As a project manager, the Executive Assistant will assign tasks and follow up to ensure their completion, provide general administrative support as requested by team members, and update client contact information across all systems. The role also includes inputting expenses for Principals and occasionally inputting time, following up on past due accounts receivable, completing billing for Principals, and coordinating travel plans and itineraries for various levels of staff for CPE training and client meetings. Building professional relationships with clients and colleagues is essential, as is the ability to seek out opportunities for additional assistance and assume cross-functional duties as needed. The Executive Assistant will utilize proactive and creative problem-solving skills while maintaining discretion with sensitive client information.

Responsibilities

  • Process a high volume of tax returns, extensions, and estimates through various delivery methods (paper, electronic, client portal).
  • Revise, draft, or format correspondence or presentations.
  • Manage annual distribution of tax organizers and tax engagement letters.
  • Maintain due date reports for team members; follow-up as necessary to ensure accuracy.
  • Manage/organize calendars and schedule both internal and external meetings.
  • Order and coordinate meals if necessary.
  • Act as project manager in assigning tasks and following up to ensure completion.
  • Provide general administrative support as necessary/requested by team members.
  • Update client contact information in all systems.
  • Input expenses for Principals, as requested, inputting time on occasion.
  • Follow up on past due A/R; coordinate with internal accounting as needed.
  • Complete billing for Principals, as requested.
  • Coordinate travel plans and itineraries for all levels for CPE training, client meetings, etc.
  • Build professional relationships with clients and colleagues.
  • Seek out opportunities to provide additional assistance and assume cross-functional duties as necessary.

Requirements

  • At least five years of experience as an Executive Assistant or in a similar role.
  • Expert skills in Microsoft Office Word, Excel, Outlook, and PowerPoint.
