About the position

The Executive Assistant position at AAA, Inc. is designed to provide comprehensive administrative support to the Vice President, Brand Officer, while coordinating activities across various functional areas. This role requires extensive interaction with senior executives and stakeholders, necessitating a high level of professionalism and confidentiality. The Executive Assistant will manage schedules, prepare correspondence, and oversee departmental meetings, ensuring smooth operations and effective communication within the organization.

Responsibilities

  • Prepare correspondence, memoranda, and reports; compose routine correspondence.
  • Screen telephone calls and visitors, resolving routine to complex inquiries and complaint calls.
  • Organize and lead special reports, draft/edit speeches, and create presentations.
  • Schedule and maintain a calendar of appointments, meetings, and travel itineraries, coordinating related arrangements.
  • Coordinate and record department quarterly meetings, prepare agendas, and manage monthly meetings for the executive's direct reports.
  • Oversee agenda and conduct monthly administrative assistant meetings, advisory board meetings, luncheons, and department conferences.
  • Assist in preparing information for Board of Directors, committee, and club meetings, sending materials in advance as needed.
  • Communicate with club executives, staff officers, and committee members regarding special projects, programs, and activities.
  • Maintain awareness of departmental projects and activities, preparing updates as needed.
  • Monitor expenses and monthly variances of the department budget, assisting in the development and coordination of annual budgets.

Requirements

  • AA degree and five (5) years of business experience at an upper management assistant level, or a High School diploma and seven (7) years of business experience at an upper management assistant level.
  • Advanced knowledge of standard PC applications, including presentation software and intranet/internet usage.
  • Outstanding work ethic and a high level of confidentiality, with the ability to make sound decisions on behalf of the executive and AAA's executive staff.
  • Effective written and oral communication skills, with a customer-oriented approach.

Nice-to-haves

  • Notary designation preferred.
