About the position

The Executive Assistant position at CHA Cambridge Hospital is designed to provide comprehensive administrative support to the Chief Operating Officer/Chief Nursing Officer (COO/CNO) within the Surgery Administration department. This role involves managing a variety of complex tasks and projects to ensure the efficient operation of Clinical Operations Administration, while maintaining a professional office environment and handling confidential information with discretion.

Responsibilities

  • Provides a variety of administrative functions to support the work of the COO/CNO.
  • Assists in the coordination and execution of executive-level work plans and projects, often working independently with minimal direction.
  • Assists in preparation and follow-up of COO/CNO's meetings by preparing materials, minutes, and necessary follow-throughs.
  • Serves as clinical and operating staff liaison, attending meetings, distributing information, and ensuring completion of action items.
  • Writes and inputs all minutes, memos, correspondence, and reports as directed by COO/CNO.
  • Ensures appropriate handling of confidential information and prioritizes incoming correspondence and calls.
  • Organizes daily office activities, including typing, mailings, and purchasing supplies.
  • Coordinates COO/CNO's schedule, including meetings, special events, and travel arrangements.
  • Maintains computer databases and creates a professional office environment.
  • Coordinates details regarding special events and functions for Hospital Clinical Operations Administration.

Requirements

  • Minimum of 3 years experience in an Executive Assistant or Executive Secretary capacity, preferably in healthcare.
  • Formal training from an accredited program can substitute for 1 year of experience.
  • Baccalaureate degree preferred, or 4 years of equivalent experience.
  • Excellent clerical, interpersonal, organizational, and writing skills required.
  • Familiarity with standard business language and practices, including business typing and customer service principles.
  • Minimum typing speed of 50 words per minute, with a typing test provided.
  • Computer literacy in word processing, organizational files, and database management.
  • Fluency in Windows '2000, Microsoft Office, and Word software required; Meditech and Excel preferred.
  • Proven ability to manage multiple projects and interface effectively with various constituencies.
