About the position

The Executive Assistant I position at Fifth Third Bank is designed for executive assistants supporting senior executives in the C or D band who report directly to an Affiliate President or a senior executive in the B band. This role involves a wide range of support for an executive, relieving them of administrative duties that are often highly confidential, diversified, and complex in nature. The position requires initiative and judgment in the absence of specific directions from the executive. The Executive Assistant may also serve as a liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations. The role emphasizes accountability for risk management and ensuring a positive customer experience.

Responsibilities

  • Provides administrative support to the area executive, requiring judgment and initiative.
  • Administers programs, projects, campaigns, and/or processes for the operating unit served.
  • Coordinates the manager's schedule, makes appointments, and arranges and coordinates travel schedules.
  • Answers, screens, and directs incoming calls, determining which can be handled by subordinates.
  • Assists in the preparation of administrative reports, performs sensitive information gathering, computes statistics, and distributes reports.
  • Greets internal and external customers, answering complex questions.
  • Sorts and distributes incoming mail and prepares outgoing mail and correspondence.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
  • Contacts key executives, board members, and external management personnel to transmit information and obtain data.
  • Types letters and reports from rough drafts, making necessary changes in grammar, punctuation, or spelling.
  • Organizes and maintains a confidential file system and files correspondence and other records.

Requirements

  • Ability to read and write well enough to type, edit, and proof general business correspondence and prepare reports, typically acquired through completion of a high school education.
  • In-depth knowledge of company policies, procedures, and operations, usually acquired through five or more years of secretarial/administrative experience, including at least three years with the company.
  • Ability to accurately and efficiently record and type dictation involving a normal range of business vocabulary or a limited and recurring range of special terminology, typically acquired through a one-year business college program.
  • Experience with Microsoft Office products, such as Word and Excel.
