About the position

As an Executive Assistant I, you will provide dynamic and proactive administrative support to leaders at the Sr. Vice President level and above, while also managing the daily operations of our administrative support teams. This role is crucial in ensuring that business or functional-area administration teams adhere to corporate standards and business processes throughout the execution of daily support tasks. You will act as the primary point of contact between the executive and both internal and external customers, delivering an exceptional level of customer service. Your responsibilities will include directing incoming calls, correspondence, and voice messages, maintaining calendar details, and managing scheduling effectively. You will coordinate meetings and appointments for the executive, provide timely reminders, and ensure stakeholder awareness in support of executive activities. In addition to these tasks, you will compile executive communications and presentations, liaise with key stakeholders across various departments to ensure all executive needs are met, and coordinate domestic and international travel, including visa and passport requirements. You will also support large events, tradeshows, and galas, contributing to the overall success of the executive's initiatives. The ISR (Intelligence, Surveillance & Reconnaissance), Aviation, and Security (IAS) business area is a leader in ISR and aviation, providing innovative, high-performance systems and solutions tailored to customer requirements. Your role will be integral in maintaining the high standards of service and operational excellence that the company is known for.

Responsibilities

  • Provide dynamic and proactive administrative support to leaders at the Sr. Vice President level and above.
  • Manage the daily operations of administrative support teams.

Requirements

  • B.A. (or equivalent degree) and 2 years of relevant work experience, or H.S. Diploma and 3 years of relevant work experience.
  • Advanced knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, Visio, Teams, and SharePoint.
  • Demonstrated initiative and ability to multi-task in a fast-paced environment.
  • Extensive organizational skills and attention to detail.
  • Proficient communication skills.
  • Ability to interpret guidelines and apply judgment in individual situations.
  • Ability to solve routine problems of limited scope and complexity.
  • Ability to obtain and maintain a Secret U.S. Security Clearance.

Nice-to-haves

  • Experience in a DOD environment and familiarity with JTR and FCG.
  • Experience with Concur Travel and Expense platform or other travel management system.
  • Proven interpersonal communication skills with personnel at all levels, including foreign and military officials.
