About the position

The Executive Assistant II at KeyBank plays a crucial role in providing comprehensive administrative support to the Regional Sales Executive and their leadership teams. This position is designed for individuals who can perform a variety of administrative and clerical duties while contributing to the overall performance of the Division's functional and cross-functional teams. The Executive Assistant is expected to add value to the organization by working efficiently and striving to enhance both internal and external customer experiences. A key aspect of this role is the ability to prioritize and organize work effectively, demonstrating flexibility and adaptability to meet the changing needs of the business. In this fast-paced environment, the Executive Assistant will be responsible for managing complex calendars, coordinating travel logistics, and handling expense reports. They will act as a liaison between executives and various internal departments, ensuring that all matters are addressed in a timely and professional manner. The role requires a proactive approach to managing administrative projects, onboarding new hires, and facilitating employee exit formalities. Additionally, the Executive Assistant will coordinate meetings, manage communications, and organize events, all while maintaining a positive and collaborative work environment. The ideal candidate will possess strong organizational skills, integrity, and the ability to thrive under pressure. They should be detail-oriented and capable of managing multiple tasks simultaneously. Responsibilities

  • Provide administrative support to the Regional Sales Executive and leadership team.
  • Manage complex calendars, including scheduling meetings and coordinating travel logistics.
  • Act as a liaison between executives and internal departments, ensuring timely communication and follow-up.
  • Coordinate and execute multiple meetings and offsite events, adapting to changing priorities as needed.
  • Handle phone communications, prioritizing urgent requests and ensuring appropriate responses.
  • Sort and prioritize mail, highlighting relevant articles and advertisements for the executive.
  • Collect and organize documents from the executive's direct reports.
  • Plan and organize team events, socials, and recognition ceremonies.
  • Take accurate notes during meetings and distribute materials before and after meetings.
  • Manage mass communications on behalf of the executive.
  • Collect, compile, and analyze data for internal and external reporting purposes.
  • Assist with special projects and presentations as they arise.

Requirements

  • High School Diploma or equivalent experience.
  • 2+ years of relevant experience supporting executive management.
  • Proven ability to manage multiple calendars and projects simultaneously.
  • Ability to read and understand basic financial data, legal contracts, and third-party communications.
  • Proficient in Google Apps and Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Publisher.
  • Excellent written and verbal communication skills.
  • Ability to exercise sound judgment, discretion, and confidentiality in all matters.
  • Confident and resourceful in problem-solving, with the ability to escalate issues when necessary.
