About the position

The Executive Assistant II plays a crucial role in ensuring the smooth operation of the executive's office by efficiently managing a variety of administrative tasks. This position is responsible for performing all assigned administrative, clerical, staff support, and general office duties, which include handling customer complaints with discretion and maintaining the confidentiality of sensitive materials. The Executive Assistant II provides essential administrative support to organizational leaders, ensuring that their daily needs are met and that they can focus on strategic initiatives. In this role, the Executive Assistant II manages the daily administrative needs of the executive, which includes maintaining records, ordering supplies, answering phones, creating files, managing emails, and providing other support as needed. The position requires the preparation of various correspondence, memorandums, and reports for the manager, as well as managing all department communications and activities. The Executive Assistant II assists customers and associates with a variety of daily requests, including conducting research for operational issues and ensuring timely delivery of reports to managers. Additionally, the Executive Assistant II is responsible for coordinating and implementing administrative and corporate policy updates and approvals. This includes scheduling meetings, managing calendar availability for the manager, and overseeing all audio-visual needs for meetings. The role also involves acting as a liaison with vendor management to facilitate agreement approvals and working with unit members to establish initial budgets. Monitoring budget activity, researching income and expenses, and preparing applicable reports are also key responsibilities. The Executive Assistant II creates forms, processes reports, and assists management with procedural changes, ensuring that all documentation is maintained accurately and completed in a timely manner. This position may also involve assisting with internal and external examination requests and performing other duties as assigned.

Responsibilities

  • Manage daily administrative needs of the executive including maintaining records, ordering supplies, answering phones, creating files, managing email, and other support duties as needed.
  • Prepare various correspondence, memorandums, and reports for the manager.
  • Manage all department communications, activities, rosters, etc.
  • Assist customers and associates with a variety of daily requests, including research for customers and associates and operational issues.
  • Gather data and assemble reports, ensuring timely delivery to managers.
  • Assist with coordinating, maintaining, and implementing administrative and corporate policy updates and approvals.
  • Schedule meetings and manage calendar availability for the manager, including managing all AV needs for the meeting.
  • Act as a liaison with vendor management in getting agreements through the process to approval.
  • Work with members of the unit in establishing initial budgets.
  • Monitor actual to budget activity, research income and/or expenses, and prepare applicable reports.
  • Create forms, processes, reports, and presentations; assist management with implementing, communicating, maintaining, and tracking procedural changes.
  • Provide support of information to all associates in the applicable department.
  • Ensure all appropriate documentation for the applicable department is maintained, processed accurately, and completed in a timely manner.
  • Assist with all internal and external examination requests.
  • Perform other duties and responsibilities as assigned.

Requirements

  • Ability to read and interpret documents such as procedure manuals, general business correspondence, and government regulations.
  • Ability to write routine reports and business correspondence.
  • Ability to respond in writing to customer complaints, regulatory agencies, or members of the business community.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees in the organization.
  • Proficiency in Microsoft Office, including Outlook, Excel, and PowerPoint.
  • High School Diploma/GED or AS/AA Degree or specialized training preferred.
  • Minimum 4 years work experience in applicable department or as Executive Assistant.
