About the position

The Executive Assistant II position at Farm Bureau involves performing a variety of secretarial and administrative duties that require a comprehensive understanding of organizational policies and practices. This role primarily supports executives responsible for significant business functions, ensuring efficient operation through effective communication and organizational skills.

Responsibilities

  • Prepare memoranda, correspondence, meeting minutes, and reports.
  • Assist with coordination and preparation of materials for distribution.
  • Update and maintain departmental manuals and guidebooks.
  • Answer telephone calls, take messages, and direct calls appropriately.
  • Greet and direct visitors, resolving routine and complex inquiries.
  • Maintain appointment calendars and make travel arrangements.
  • Open and distribute mail, copy materials, and maintain files.
  • Assist in the orientation and training of new employees.
  • Serve as an administrative liaison with internal and external parties regarding various issues.

Requirements

  • Minimum of 2 years of general secretarial duties with some administrative responsibilities.
  • High School Diploma or G.E.D.
  • Strong verbal communication and listening skills.
  • Proficient in English written and verbal communication skills.
  • Demonstrated ability to maintain confidential information.
  • Excellent organizational skills.
  • Proficient computer skills in Microsoft Office (Outlook, Word, Excel, PowerPoint).
