About The Position

The Executive Assistant III provides multiple high-level administrative support to assigned Executives, working independently while exercising initiative and judgment. The position requires core competencies that ensure positive customer interactions, empowerment, ownership, and key professional skills such as active listening, effective communication, and thoroughness.

Requirements

  • High School Diploma or GED equivalency required.
  • Bachelor's Degree in business or related field preferred.
  • 5+ years of progressive experience in a corporate office (a bachelor's degree can substitute for 2 years of work experience).
  • 2+ years of executive level experience supporting multiple executives.

Responsibilities

  • Maintains schedules and calendars, arranges and confirms appointments and other administrative responsibilities.
  • Coordinates meetings, conference calls, and travel reservations for Executives.
  • Prepares and manages correspondence, reports, presentations, and documents, ensuring deadlines are met and projects are on schedule.
  • Effectively manages expense reports and timecards for the Executive and their direct reports.
  • Reconciles and authorizes payments for selected invoices up to $500.
  • Handles Board and/or Board Committee Meetings, including building agendas, eRoom, minutes, and communication to board members.
  • Communicates and engages with board members, investors, and regulators as needed.
  • Maintains a professional office environment and understands confidentiality of discussions and materials.
  • Prioritizes tasks, exercises good judgment, and meets multiple deadlines.
  • Problem solves, compiles, and analyzes data using sound judgment.
  • Coordinates and participates in division activities and Bank-sponsored community events.
  • Organizes internal and external events assigned to the executive.
  • Sets up work procedures and assists or leads significant special projects.
  • Identifies creative ways to streamline processes and find alternative solutions to unexpected challenges.
  • Primarily supports 1-2 executives and serves as backup to multiple other Executives as assigned.
