About the position

HunaTek is searching for an Executive Assistant III who will provide direct executive-level support to senior leadership at a Government Agency. This role encompasses a variety of complex duties that support the Directorate and/or Offices, as well as professional administrative support for day-to-day operations. The Executive Assistant will be expected to exercise a wide latitude of discretion regarding workflow and priorities, demonstrating an in-depth understanding of various executives' styles, methods of operation, and authorities. The Executive Assistant will act as a bridge for complex cyber issues at all levels of the Department, utilizing exceptional verbal and written communication and interpersonal skills. They will oversee executive communications, approvals, and products to ensure consistency in messaging and processes for both internal and external communications to stakeholders and customers. The role requires maintaining an awareness of the internal structural levels of the organization and managing the workflow of Office level calendars, adapting to frequent schedule adjustments. In addition, the Executive Assistant will gather and review data from various Offices, ensuring product quality in terms of substance, format, and grammar, and shepherding products through review and approval processes. Responsibilities also include maintaining an efficient office environment, monitoring administrative requirements, preparing organizational charts, capturing and distributing meeting minutes, coordinating meetings and official functions, overseeing travel logistics, and performing various administrative duties as assigned. The role may also involve office management tasks such as updating appointment calendars, organizing filing systems, making travel arrangements, and developing office procedures.

Responsibilities

  • Provide direct executive-level support to senior leadership at a Government Agency.
  • Act as a bridge for complex cyber issues at all levels of the Department.
  • Oversee executive communications, approvals, and products to ensure consistency of message and process.
  • Manage the workflow of Office level calendars and adapt to frequent schedule adjustments.
  • Gather and review data from Offices, ensuring product quality and shepherding products through review processes.
  • Maintain an efficient office environment, including ordering supplies and arranging for repairs.
  • Monitor administrative requirements and coordinate matters with other offices.
  • Prepare and edit organizational charts on a monthly basis.
  • Attend meetings, capture and distribute minutes derived from the meeting.
  • Coordinate meetings and official representational functions, including preparing guest lists and invitations.
  • Oversee all aspects of travel logistics and generate government travel orders accurately.
  • Perform various administrative duties such as making appointments, opening mail, and filing.
  • Prepare time and attendance records for supervisor and office staff.
  • Perform special assignments and project support as requested.

Requirements

  • Must be a US citizen and possess a SECRET clearance.
  • Associates degree or three years of increasingly responsible administrative experience may be substituted for education.
  • Highly organized with excellent oral and written communication skills.
  • Ability to handle multiple tasks simultaneously and communicate effectively.
  • Knowledge of office policies, practices, and procedures.
  • Thorough knowledge of Microsoft applications (MS Word, Excel, PowerPoint).
  • Experience working with databases.
  • Basic accounting skills are helpful.
  • Ability to work independently.
