About the position

The Executive Assistant position in the Information Technology Department of the City of Westminster is a highly responsible role that involves providing complex administrative support to the IT Director and the department. The role requires confidentiality, discretion, and the ability to work independently while managing multiple priorities. The ideal candidate will demonstrate strong communication, organizational skills, and a proactive approach to problem-solving, ensuring the smooth operation of the department's administrative functions.

Responsibilities

  • Provide high-level customer service to the IT Director, including time management and scheduling meetings.
  • Assist City employees, public officials, and citizens with inquiries and support.
  • Manage Council Communication for the IT Department, ensuring consistent formatting and messaging.
  • Provide office support, including maintaining filing systems and composing routine correspondence.
  • Prepare and update various reports for the Information Technology Department.
  • Act as a back-up for the IT Service Center by answering technical support calls.
  • Process department purchase orders and invoices, maintaining budget records and tracking expenditures.
  • Review IT employee timesheets for accuracy and consistency.
  • Maintain regular and punctual attendance.

Requirements

  • Graduation from high school or GED.
  • Minimum five (5) years of experience in executive assistant work of a progressively responsible nature.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and remote meeting software.
  • Ability to type 40 words per minute with accuracy.
  • Knowledge of general accounting.

Nice-to-haves

  • Additional experience with other computer software programs.
  • Bilingual or multilingual skills.
