About the position

The Executive Assistant for Integrated Planning & Franchise Management at Walt Disney Studios plays a crucial role in supporting high-level executives by managing administrative tasks, facilitating communication, and ensuring efficient operations within a dynamic team. This position requires a detail-oriented professional who can thrive in a fast-paced environment, juggle multiple responsibilities, and maintain a polished demeanor while fostering strong relationships across various departments.

Responsibilities

  • Provide comprehensive administrative support to the SVP Integrated Planning & Franchise Management and the VP Franchise Management.
  • Manage calendars, schedule meetings and conference rooms, answer phone calls, and submit expense reports.
  • Develop a strong understanding of key leadership roles across the studio and broader enterprise.
  • Proactively monitor and manage meeting attendance, ensuring priority attendees are tracked.
  • Organize, maintain, and update department electronic files and ensure all documents are accessible.
  • Coordinate, update, and deliver essential team documents and databases timely and efficiently.
  • Support the team with office resource management and assist on special projects as required.
  • Organize and coordinate Partner events, including submission for approval and managing RSVPs.
  • Book and manage travel, creating detailed itineraries and managing expense reports.
  • Manage details for annual Studio International Summit, including agenda and logistics.

Requirements

  • 1+ years of administrative experience at the senior management level, preferably within the entertainment industry.
  • Strong computer skills with proficiency in both PC and Mac environments, including Microsoft Outlook, Word, Excel, PowerPoint, Keynote, and Google Docs.
  • Proven ability to prioritize tasks, meet deadlines, and adapt to changing situations.
  • Exceptional attention to detail and professionalism in high-pressure situations.
  • Outstanding organizational skills with a strong commitment to follow-through.
  • Excellent verbal and written communication skills.
  • A positive outlook with proactive, resourceful, and adaptable qualities.
  • Exceptional interpersonal skills, able to foster a collaborative work environment.

Nice-to-haves

  • Bachelor's Degree or equivalent experience preferred.
  • Familiarity with SAP is a plus.
