About the position

The Executive Assistant position is a critical role that provides comprehensive office and administrative support to teams or individuals within the organization. This role is particularly focused on managing complex calendars, booking international travel, and overseeing the VISA process for travel. The Executive Assistant will be responsible for tracking expenses and preparing travel and entertainment (T&E) reports, ensuring that all financial documentation is accurate and submitted in a timely manner. The position requires collaboration with various business units, necessitating effective communication and coordination skills to facilitate smooth operations. In this role, the Executive Assistant will handle standardized project processes and will be guided by established guidelines to determine the appropriate actions to take. While there is some latitude in how tasks are approached, the individual must adhere to the overall objectives and timelines set by the management team. Proficiency in Microsoft Office, particularly PowerPoint, is essential, as the Executive Assistant will be expected to create presentations and reports that support the management team’s initiatives. The ideal candidate will possess strong oral and written communication skills, as well as excellent interpersonal and leadership abilities. The role demands a high level of independence and the capacity to solve problems effectively. Candidates should have a minimum of five years of general business or administrative experience, particularly in supporting top management, and must have experience in scheduling international travel and managing the VISA process.

Benefits

  • Competitive hourly pay of $28 - $31 per hour.
  • Contract position with expected hours of 40 per week.
