About the position

The Executive Assistant will provide high-level administrative support to the Head of the US Team, the Chief Investment Officer, and other senior leaders at a prestigious investment firm in Boston. This role is crucial for ensuring the smooth operation of executive schedules and logistics, requiring a detail-oriented and organized individual capable of managing multiple tasks efficiently.

Responsibilities

  • Manage complex calendars and book conference rooms for meetings (in-person and virtual).
  • Answer phones and set up conference and video calls.
  • Ensure executives' Outlook calendars are up-to-date and communicate any changes promptly.
  • Collaborate with the team to arrange meeting logistics, including room bookings and catering.
  • Coordinate all aspects of domestic and international travel, including transportation and accommodations.
  • Handle payment processing and prepare expense reports.
  • Manage mail, emails, and confidential materials with discretion.
  • Address urgent matters and manage conference registrations.
  • Support document and presentation preparation using PowerPoint, Excel, and Word.

Requirements

  • Bachelor's degree or equivalent experience required.
  • Minimum of 3 years' experience supporting senior executives; 5-10 years preferred.
  • Strong organizational, communication, and multitasking skills.
  • Detail-oriented with high professionalism and discretion.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).

Nice-to-haves

  • Experience in financial services (1 year preferred).
