About the position

The Executive Assistant (EA) position is a full-time role that reports directly to the General Manager of the AOAO Country Club Village Phase 2 in Honolulu, HI. This position serves as the initial point of contact for incoming calls and walk-in traffic from residents and Owners, ensuring a welcoming and efficient communication flow. The EA is responsible for processing both incoming and outgoing requests from residents and Owners, which includes maintaining essential registration forms, key fobs, vehicle clickers, and managing elevator/loading zone reservations. Additionally, the EA oversees the information displayed on bulletin boards, in lobbies, and through the Condo Control APP and elevators, ensuring that all communications are clear and accessible to residents and Owners. In this role, the Executive Assistant will prepare and distribute the quarterly newsletter, manage the appointment schedule of the General Manager, and maintain calendars for operations and appointments. The EA will also be tasked with providing necessary documentation for meetings, taking notes, and recording minutes as required. Administrative support is a key component of this position, which includes managing petty cash, invoices, and employee attendance paperwork with discretion. The EA will develop various communications on behalf of the Management Office and the General Manager, and may occasionally be called upon to interpret and communicate the General Manager's directives to others. The position requires flexibility in work hours, including some evening and weekend work, to accommodate the needs of the office and its residents. The Executive Assistant will also be responsible for maintaining cleanliness and organization within the Management Office, as well as managing resident databases and other duties as assigned. This role is crucial in ensuring smooth operations and effective communication within the community, making it a vital part of the administrative team.

Responsibilities

  • Process requests from residents and Owners for administrative services.
  • Coordinate all aspects of information placed on bulletin boards and monitors in lobbies and elevators.
  • Prepare and distribute the quarterly Association newsletter.
  • Manage the dissemination of information to residents and Owners using appropriate communication platforms.
  • Manage the appointment schedule of the General Manager, scheduling most meetings through the Executive Assistant.
  • Maintain calendars for operations and appointments.
  • Provide necessary documentation for meetings, including printouts, agendas, and reports.
  • Take notes and record minutes for all team and other meetings at the request of the General Manager.
  • Stock and inventory supplies while maintaining cleanliness and organization throughout the Management Office.
  • Provide administrative support in preparing petty cash, invoices, or check requests for signature and submittal.
  • Generate personnel paperwork, payroll, and employee attendance with discretion.
  • Develop letters, memos, notice postings, and other communications on behalf of the Management Office and General Manager.
  • Interpret and communicate the General Manager's intentions or directions to others as needed.
  • Manage resident databases.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED required.
  • Associate Degree preferred.
  • 1 - 3 years of directly related or closely related work experience.
  • Experience using office equipment such as a computer and printer.
  • Experience organizing educational, training, and social activity programs.
  • Experience with software programs to improve information and messages to residents and Owners.
  • Strong organizational skills and ability to manage time effectively.
  • Excellent written, verbal, and interpersonal communication skills.
