About the position

The position is responsible for overall office management, serving as a crucial element of continuity to ensure that standard procedures effectively support the mission objectives established by the organization. The incumbent will maintain and order office supplies and equipment, ensuring that an accurate inventory of such items is kept. This role requires assessing and identifying administrative areas that may need further policy guidance or interpretation, particularly in matters that are confidential and sensitive in nature. In addition to these responsibilities, the individual will gather information, verify facts, and summarize or extract data from lengthy reports, arranging material in an appropriate form to facilitate its use. The role also involves researching relevant laws, regulations, and policies, developing appropriate historical information related to program accomplishments, and recommending further study and analysis as necessary. The incumbent will establish, receive, screen, and maintain the schedule of appointments, meetings, conferences, speaking engagements, and other commitments for the office. Furthermore, the position requires providing advice and guidance to directors and staff on appropriate procedural policies in the preparation of presentations.

Responsibilities

  • Manage overall office operations to ensure continuity and support mission objectives.
  • Maintain and order office supplies and equipment, including inventory management.
  • Assess and identify administrative areas needing further policy guidance or interpretation.
  • Handle confidential and sensitive administrative actions and matters.
  • Gather information, verify facts, and summarize or extract data from lengthy reports.
  • Research relevant laws, regulations, and policies, and develop historical information related to program accomplishments.

  • Provide advice and guidance on procedural policies for presentations.

Requirements

  • Must be able to obtain and maintain a Secret security clearance for the duration of employment.
  • One year of specialized experience equivalent to the GS-11 level in the Federal service, including coordinating sensitive administrative actions, providing information on executive policy, preparing itineraries, and establishing meeting procedures.
  • Experience in handling confidential matters and providing guidance to staff on procedural policies.
