About the position

The Executive Assistant Lead will provide comprehensive administrative support to senior management at Soft Tech Consulting, Inc. in Bethesda, MD. This role involves overseeing other administrative staff and ensuring effective communication across all levels of the organization. The ideal candidate will be customer service-oriented, possess strong communication skills, and be capable of working independently in a collaborative team environment.

Responsibilities

  • Edit and reformat electronic drafts of complex documents prepared by staff members.
  • Use advanced word processing functions to generate tables of contents and lists of exhibits and perform extensive editing functions.
  • Transmit, receive, and acknowledge electronic mail and messages, and manage incoming mail or messages.
  • Handle a wide variety of telephone calls and professional inquiries, serving as a primary contact point for the office.
  • Assist in maintaining calendars, scheduling meetings, and making travel arrangements for senior staff.
  • File materials in various file systems and distribute non-electronic mail.
  • Initiate/process purchase requests and work with technical staff to gather requirements.
  • Prepare training requests using the online NIH Integrated Training System (NIHITS).
  • Prepare government travel requests and travel reimbursements using online travel systems.
  • Support Branch timekeeping operations using the NIH Integrating Time and Attendance System.
  • Submit Facility Work Requests for building repair/maintenance and other services.

Requirements

  • Bachelor's Degree.
  • Four (4) years of administrative support experience at NIH or another Federal agency.
  • Strong oral and written communications skills.
  • Ability to work independently with little or no oversight.
  • In-depth knowledge and experience with a variety of software products, including Word, Excel, SharePoint, and Microsoft Access.
  • Knowledge/experience with government timekeeping processes, procedures, and guidelines.
  • Knowledge/experience with government travel processes, procedures, and guidelines.

Nice-to-haves

  • Knowledge/experience with NIH Purchasing Order Tracking System (POTS).
  • Knowledge/experience with NIH Time and Attendance System (ITAS).
  • Knowledge/experience with NIH Government travel system.
  • Knowledge/experience with NIH Integrated Training System (NIHITS).
