About the position

The Executive Assistant at Levy is responsible for providing world-class executive and office support to enhance the Levy culture and business philosophy. This role involves managing executive calendars, liaising with clients, and ensuring seamless execution of meetings and travel arrangements. The position is based at the Corporate Levy HQ in Chicago, IL, and requires a high level of professionalism and communication skills.

Responsibilities

  • Manage day-to-day calendars for executives, including scheduling meetings and liaising with other administrative assistants.
  • Liaise with clients at a high level on behalf of the Executive.
  • Ensure that meetings, presentations, and other duties are carried out seamlessly.
  • Book business travel, accommodating specific travel requirements and low fares.
  • Manage travel schedules to proactively handle disruptions and changes, including availability during evenings and weekends.
  • Answer incoming calls with proper etiquette and document messages promptly.
  • Provide clerical support including filing, copying, and scanning documents.
  • Process invoices, expense reports, and purchasing card statements in a timely manner.
  • Manage supplies and ordering for new business meetings.
  • Organize locations, set-up, and communication for various meetings, including board and client meetings.
  • Facilitate organizing notes, gifts, cards, and awards as needed.
  • Promote a cooperative work climate to maximize productivity and morale.
  • Foster strong relationships with operations by prioritizing accessibility and responsiveness.

Requirements

  • Excellent and professional writing and verbal skills.
  • Experience working at the Executive Assistant level with senior management and senior-level clients.
  • Knowledge of MS Office applications, including Word, Excel, and Outlook.
  • Ability to manage complex and highly confidential information.
  • Ability to work autonomously and across multiple tasks and reporting into different project teams.
  • Ability to build PowerPoint presentations with design and creativity skills.
  • Adept at problem-solving.
  • Ability to prioritize and plan work activities to use time efficiently.
  • Organized, accurate, thorough, and able to monitor work for quality.
  • High degree of personal organization and self-management.
