About the position

The Executive Assistant position at UTHealth's McGovern Medical School is designed to provide comprehensive administrative support to 5-7 faculty members within the Department of Surgery. This role requires strong organizational skills, the ability to multitask, and the capacity to work both independently and as part of a team. The position offers a hybrid work option after a probationary period and is integral to the smooth operation of the department, ensuring effective communication and coordination among faculty and staff.

Responsibilities

  • Resolve general to complex inquiries and questions, responding to correspondence or telephone contacts within established guidelines.
  • Compose correspondence and memoranda; prepare graphs, tables, manuscripts, speeches, mass communications, reports, and presentation materials.
  • Schedule and maintain calendars and travel itineraries; coordinate related arrangements in compliance with university and grant policies.
  • Maintain filing systems, ensuring accuracy and compliance of files, records, and reports for the assigned area.
  • Classify, reconcile, consolidate, and summarize documents and information.
  • Compile data from reports using knowledge of departmental and university policies and procedures.
  • Accountable for data entry and timely submission of data for processing in financial and/or human resources systems.
  • Coordinate meetings, including room assignments, participant invitations, and refreshments.
  • Screen calls and emails, and receive and direct visitors.
  • Handle confidential information and sensitive issues with discretion.
  • Provide guidance and direction to lower-level staff and assist with their performance evaluations.

Requirements

  • High School diploma or equivalent required; Bachelor's degree preferred.
  • Six (6) years of related work experience required, with extensive experience in scheduling and maintaining calendars.
  • Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint, and Outlook is required.
  • Prior experience preparing meeting materials or general reports is required.

Nice-to-haves

  • Experience providing administrative support to multiple faculty members at UTHealth is a plus.
