About the position

The Executive Assistant will provide comprehensive support to the President of Media Sales at a leading digital streaming network. This role requires a highly organized and proactive individual who can manage travel logistics, maintain the executive's calendar, and anticipate their needs. The ideal candidate will have experience in the entertainment industry and possess exceptional communication skills, making them a key player in supporting high-level executives.

Responsibilities

  • Manage travel arrangements including itineraries, car services, and hotel communications.
  • Create and maintain the President's meeting calendar, scheduling and managing 7-10 meetings daily.
  • Keep up with cancellations, reschedules, and time overruns on the calendar.
  • Efficiently manage the President's overall schedule on a daily, weekly, and monthly basis.
  • Create a daily schedule for the President to review and email the prior evening.
  • Connect calls and send meeting links to the executive's cellphone when on the road.
  • Troubleshoot basic technology functions and programs, including email attachments and digital meeting platforms.
  • Act as a liaison for internal and external contacts, understanding the executive's network.
  • Assist in the preparation of speaking engagements and transcribe/dictate letters and emails.
  • Assist with special Ad Sales projects and coordinate client entertaining events.
  • Handle expense management and corporate cards, completing monthly expenses and submitting reports in Concur.
  • Maintain a confident and calm demeanor, making independent decisions when necessary.
  • Attend speaking engagements with the President when needed.

Requirements

  • 8-10+ years of experience as an Executive Assistant in the entertainment industry, supporting C-Suite Executive or higher.
  • Bachelor's Degree.
  • Excellent communication skills, both oral and written.
  • Excellent organizational and time management skills.
  • Strong interpersonal skills and proven ability to work well in a team setting.
  • Professional phone demeanor.
  • Proficient in Office 360, Microsoft Teams, and Zoom for calendar management.
  • Tech-savvy with the ability to adapt to new technologies and troubleshoot when needed.
  • Strong proficiency in Concur, Outlook, Microsoft Excel, and Microsoft PowerPoint.
  • Ability to take initiative and prioritize work under tight deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and exercise sound judgment.

Nice-to-haves

  • Experience in the media sales or entertainment industry.
  • Familiarity with corporate event planning and management.
