About the position

The Executive Assistant for Ministry Development at Children's Hunger Fund (CHF) plays a crucial role in supporting the Executive Director and ensuring the effective and efficient accomplishment of the Executive's responsibilities and goals. This position is not just about administrative tasks; it involves being a strategic partner to the Executive Director, representing them in various capacities, and exercising sound judgment in a variety of situations. The Executive Assistant will handle visitors and callers with care and respect, ensuring an excellent representation of the Executive, the Executive Team, and the organization as a whole. In this role, the Executive Assistant will maintain a strong organizational knowledge of CHF, particularly regarding department activities and responsibilities. This knowledge is essential for providing accurate information and being a proactive resource for the Executive. The Executive Assistant will execute projects and assignments as delegated by the Executive, ensuring that all tasks are completed in a timely and accurate manner. They will also serve as the primary contact point in the Executive's absence, providing information and support to both internal and external stakeholders. Key responsibilities include managing the Executive's calendar, scheduling appointments, preparing for meetings, and ensuring effective communication of any changes. The Executive Assistant will also be responsible for making travel arrangements, managing files, and creating various reports to assist the Executive in managing their responsibilities. Additionally, the Executive Assistant will provide support for the International Ministry Development staff, facilitating strong cross-departmental communications and teamwork. This position requires participation in a wide range of organizational meetings and events, contributing to the overall mission of CHF.

Responsibilities

  • Provide strategic and tactical assistance to the Executive Director, Ministry Development.
  • Serve as a direct representative for the Executive where needed.
  • Handle visitors and callers with care and respect, ensuring excellent representation of the Executive and organization.
  • Maintain strong organizational knowledge of CHF and department activities.
  • Execute projects and assignments as delegated by the Executive.
  • Serve as the primary contact point in the Executive's absence.
  • Maintain the Executive's calendar and manage appointments.
  • Schedule and set up meetings, including preparing video/web conferencing and handouts.
  • Record and distribute meeting minutes and follow up on action items.
  • Manage incoming/outgoing calls and correspondence, ensuring timely follow-up.
  • Make and ensure timely travel arrangements for the Executive and department members.
  • Create and maintain various reports to assist the Executive in managing responsibilities.
  • Provide departmental support for International MD staff, including office supply orders and travel arrangements.
  • Facilitate strong, effective cross-departmental communications and teamwork.
  • Participate in a wide range of organizational meetings and events.

Requirements

  • Confesses Jesus Christ as Savior and Lord; active member of a gospel-centered, Christian local church.
  • Experienced in administrative support and/or office operations; non-profit experience preferred.
  • Previous work or volunteer experience in international ministry or related environment helpful.
  • High level of professional discretionary judgment and spiritual discernment.
  • Proactive with demonstrated ability to independently develop and implement appropriate solutions.
  • Excellent computer skills (MS Office, Internet); able to quickly learn new software applications.
  • Professional appearance and gracious, personable communication skills (written and verbal).
  • Trustworthy, able to maintain appropriate confidentiality of donor and ministry information.
  • Reliable in attendance and timely completion of work/projects.
  • Able to successfully manage multiple projects simultaneously, prioritize, and be organized.
  • Flexible, able to positively adapt to the changing needs of CHF's ministry.
  • Able to effectively communicate CHF's mission, distinctives, and programs.

Nice-to-haves

  • Experience in travel arrangements is preferred.
  • Bilingual Spanish/English is a plus.
