About the position

The Amazon Music Growth & Marketing team is seeking a dedicated and self-driven Executive Assistant to support two Directors. This role is crucial in providing comprehensive support for a highly-distributed global organization. The ideal candidate will possess strong communication skills and have a proven track record in managing complex calendars, coordinating travel, planning events, and organizing large internal and external meetings. The successful candidate will demonstrate outstanding planning and time management abilities, along with a passion for organization. Attention to detail, sound judgment, and the capacity to meet tight deadlines while juggling multiple requests across global teams are essential traits for this position. In this role, the Executive Assistant will be responsible for managing complex calendars and scheduling across multiple locations and time zones. This includes setting up internal and external meetings, coordinating logistics for domestic and international travel, and managing expense reports. The Executive Assistant will also track and help drive the completion of key deliverables, assist in producing presentations, and communicate effectively with various stakeholders, including peers, internal teams, vendors, and industry professionals. The position requires a proactive and strategic thinker who can anticipate needs and demonstrate a high level of integrity and discretion when handling confidential information. The candidate should foster a fun and positive team environment, be flexible, and adapt quickly to changing priorities. The role also involves partnering closely with the leadership team and other Executive Assistants to provide holistic support to the organization, ensuring that team activities and traditions are championed and expanded to support a strong team culture.

Responsibilities

  • Manage complex calendars and scheduling in multiple locations and time zones
  • Set up internal and external meetings including conference rooms, AV needs, document distribution, and tracking attendance
  • Coordinate domestic and international travel itineraries with seamless logistics
  • Manage expense report coordination and submission
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Help produce presentations by compiling information, formatting, editing, and transmitting text, data, and graphics
  • Coordinate and communicate effectively with a variety of groups including peers, internal stakeholders, vendors, and music and podcast industry professionals
  • Organize, execute, and assist with team activities such as staff meeting agendas, all hands, fireside chats, off-sites, and other team events
  • Champion and expand creative team traditions and activities that support a strong team culture
  • Partner closely with the leadership team, key business partners, and other Executive Assistants to provide holistic support to the organization
  • Willingness/ability to travel to support team off-sites and events as needed

Requirements

  • 2+ years of senior level leadership support, or 1+ years of Amazon experience
  • High school or equivalent diploma
  • Experience with executive level calendar management
  • Experience with Microsoft Office products and applications
  • Experience with domestic and/or international travel
