About the position

The Executive Assistant position within the Department of Defense is a critical role that involves managing the Director's front office security program and fulfilling fire warden duties. The incumbent will be responsible for planning documents and long-range calendars, exercising control over appointments, work schedules, and speaking engagements. This role requires anticipating and planning for requirements while managing schedules for the Executive Office with complete authority over commitments of time. The Executive Assistant will prepare daily reading files for the Director and Deputy Director, ensuring that they are well-informed and prepared for their engagements. In addition to managing schedules, the Executive Assistant will determine which visitors and calls should be brought to the personal attention of the Executive Office Team (EOT) or other staff members within the Defense Technology Security Administration (DTSA). This requires a high level of discretion and the ability to protect the interests of DTSA while providing appropriate responses to inquiries. The role also involves initiating and ensuring effective communication and coordination with subordinate divisions or offices, higher headquarters, state and federal agencies, private companies, and professional organizations. This position is essential for maintaining the flow of information and ensuring that the Director and Deputy Director can focus on their strategic responsibilities. The Executive Assistant will be expected to work beyond normal duty hours, which may include evenings, weekends, and holidays, and may also require occasional travel away from the normal duty station for official business. The position is designated as Top Secret Security, requiring the incumbent to obtain and maintain a Top Security clearance, adhering to the Department of Defense Standards of Conduct.

Responsibilities

Requirements

  • U.S. Citizenship is required.
  • Must have served 52 weeks as a GS-09 or higher grade in the Federal Service for entry at the GS-11/12 level.
  • At least one year of specialized experience equivalent to the GS-09 grade level in the Federal service, or comparable in difficulty and responsibility to GS-11/12 if outside the Federal service.
  • Specialized experience includes providing authoritative advice and support to the executive office team and senior management.
