About the position

The Executive Assistant of Public Policy and Military Affairs at the Greater Omaha Chamber plays a crucial role in providing administrative support to various programs and individuals within the Office of the President's team. This includes working closely with the Public Policy and Military Affairs sectors, as well as assisting the Senior Executive Assistant to the President & CEO and serving as a liaison to the Board. The position requires a proactive individual who can effectively manage multiple tasks and communicate with staff, volunteers, and community members on issues relevant to the Chamber's mission. In this role, the Executive Assistant will be responsible for a wide range of administrative duties aimed at ensuring the smooth operation of the organization. This includes planning and scheduling meetings, preparing correspondence and reports, maintaining accurate records, and disseminating information through various channels. The assistant will also be involved in the preparation and filing of Accountability & Disclosure reports for the Greater Omaha Chamber PAC, managing fundraising efforts, and coordinating logistics for events and meetings. The position also entails supporting the Public Policy Council by managing agendas, RSVPs, and taking minutes during meetings. The Executive Assistant will be expected to create and maintain a Bill Tracker during legislative sessions and send out legislative updates to relevant stakeholders. Additionally, the role requires coordination of logistics for major Chamber events, including seating arrangements for elected officials. The Executive Assistant will also provide support to the Military Affairs sector by scheduling meetings and managing related logistics. In the President's office, the assistant will help with board meeting setups, manage the Master Board list, and assist with scheduling key contacts. This position is integral to the Chamber's operations and requires a detail-oriented individual with strong organizational and communication skills.

Responsibilities

  • Perform administrative/office duties to support an efficient organization.
  • Plan and schedule meetings and appointments; responsible for planning and execution of meetings and out-of-town trips.
  • Prepare correspondence, reports, and other materials.
  • Maintain accurate records and reports.
  • Disseminate information using telephone, mail, delivery services, websites, and email.
  • Participate in education to learn how to operate new office technologies.
  • Prepare and file Accountability & Disclosure (A&D) reports for Greater Omaha Chamber PAC.
  • Prepare and file quarterly lobbyist reports for Chamber lobbyists and Chamber Principal.
  • Collect receipts and prepare monthly expense report.
  • Administer PAC fundraising and prepare check requests for PAC funds.
  • Maintain accurate records of GOC PAC expenditure dates for reporting.
  • Support for Public Policy Council - Agendas, RSVPs, take minutes.
  • Event planning/coordination for various Chamber events.
  • Create Bill Tracker form and update daily during session.
  • Send legislative update email through GrowthZone to Public Policy Council, Chamber Members, and Chamber staff.
  • Schedule meetings and manage the calendar for Senior Vice President, Public Policy.
  • Coordinate RSVPs and logistics for monthly delegation meetings during legislative session.
  • Coordinate elected official complementary seating at major Chamber events.
  • Work from the Lincoln office one day a week or as needed during the Legislative session.
  • Schedule meetings as needed for Military Affairs support.
  • Assist with board meeting set-up and logistics in the President's office.

Requirements

  • High school diploma or GED.
  • 5 years of office experience.
  • Proficiency in Microsoft Office.
  • Valid Driver's License.
  • Effective oral and written communication skills.
  • Strong time management skills.
  • Attention to detail.
  • Strong internet research skills.
  • Competence in use of all office equipment.
  • Ability to plan, organize, and prioritize workload.
  • Excellent interpersonal skills.
  • Ability to work independently with minimal guidance.

Nice-to-haves
