About the position

The Executive Assistant/Office Manager will play a crucial role in supporting a Partner at a sustainability-focused private equity firm while managing the office operations. This position requires a proactive individual who can handle multiple responsibilities, coordinate with various stakeholders, and maintain a well-organized work environment. The role is based in the Flatiron, Manhattan office and involves both executive support and office management tasks.

Responsibilities

  • Manage the NYC visitor calendar and reception area, ensuring a welcoming environment for guests.
  • Coordinate and communicate with office vendors, manage deliveries, repairs, and liaise with building management.
  • Oversee office supply ordering and inventory management, ensuring common areas are clean and organized.
  • Manage the Executive's calendar, scheduling meetings and appointments, and coordinating meeting logistics.
  • Make travel arrangements for the Executive, including booking flights and hotels, and preparing itineraries.
  • Handle communications on behalf of the Executive, relaying messages and information effectively.
  • Manage expense reports and reimbursement requests for the Executive and team.
  • Contribute to planning and executing company-wide events and catering needs.
  • Provide support on special projects and initiatives, ensuring deadlines are met.
  • Assist with employee celebrations and manage miscellaneous tasks as they arise.

Requirements

  • 3+ years experience in an Executive Assistant or Office Manager role, preferably in the financial industry.
  • Superior organizational, time management, and prioritization skills.
  • Comfortable engaging with various internal and external stakeholders professionally.
  • Self-starter with a strong work ethic, exhibiting proactivity and reliability.
  • Positive, collaborative attitude and a true team player.
  • Flexibility to adapt to the evolving needs of multiple managers and teams.
  • Resourceful problem-solver motivated by challenges.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Outlook, PowerPoint, Excel); familiarity with Slack is a plus.
  • Excellent judgment and ability to protect confidential information.
