We offer a hybrid working model.

Responsibilities

  • Proactively manage diaries and emails for the Senior Leadership Team.
  • Organize travel and accommodation for the Senior Leadership Team.
  • Proactive cost management around travel & expenses.
  • Process expenses.
  • Arrange senior leadership site safety visits.
  • Co-ordinate meetings, seminars, conferences, and dinners.
  • Manage external board meeting calendar for VP of investment.
  • Manage a shared calendar or work planner for the SLT.
  • Understand and prioritize key activities to assist in achieving deadlines.
  • Raise purchase orders and process invoices.
  • Manage subscriptions.
  • Act as the first point of contact to support the resolution of queries and issues.
  • Respond to stakeholders, customers, and internal queries.
  • Act as the Ethics Lead for the team.
  • Act as the Compliance Lead and deliver administration/coordination with central Risk Manager.
  • Process and monitor Salesforce tickets.
  • Organize recurring meetings for the team.
  • Provide/coordinate pre-reads and content for meetings.
  • Manage SharePoint for easy access to content.
  • Keep Distribution Lists and permissions up to date.
  • Administer/update shared documents.
  • Support NGA summit admin where appropriate.
  • Negotiate contracts with suppliers.
  • Manage stationery/printing supplies.
  • Provide/arrange company branded merchandise.
  • Coordinate events for the office.
  • Meet and greet external guests.
  • Catering for the office where required.
  • Receive, prioritize, acknowledge and answer incoming mail and routine enquiries.
  • Work with the Finance Business Partner/budget holder.
  • Raise Purchase Orders and pay invoices.
  • Own interactions with NG internal procurement.
  • Work with HR and assist with Admin and Onboarding/Offboarding for NGP team members.

Requirements

  • Strong working knowledge of Microsoft Applications: Word, Excel and PowerPoint.
  • Ability to assemble and handle highly confidential and sensitive information with discretion.
  • Prioritizing and organizing a busy workload.
  • Excellent use of all Microsoft Office applications.
  • Good communication skills.
  • Demonstrate initiative.
  • Demonstrate a flexible approach and 'can do' attitude.
