About the position

The Office Manager & Executive Assistant role is a newly created position aimed at supporting the growth of a biotech company's U.S. office. This full-time position involves overseeing daily office operations and providing executive support to the Chief Medical Officer. The ideal candidate is proactive and thrives in a dynamic environment, handling a variety of responsibilities from office management to executive assistance.

Responsibilities

  • Act as the primary point of contact for the Lexington office, overseeing lease agreements, vendor contracts, and general office upkeep.
  • Manage office operations, including maintenance, supplies, budget, and vendor relationships.
  • Partner with HR and IT to maintain a productive and efficient office environment.
  • Handle incoming calls, direct queries, and support leadership in information tracking and reporting.
  • Coordinate practical onboarding for new staff, including setting up workspaces, IT setup, and office orientation.
  • Organize and facilitate onsite and offsite meetings and events, handling logistics, travel, and vendor coordination.
  • Provide support for team gatherings, ensuring all necessary arrangements are in place.
  • Arrange travel, manage calendar logistics, support offsite planning, and handle expense reports for executive team members.

Requirements

  • 5+ years of experience in office management, facilities, or executive assistance, ideally within a biotech or startup environment.
  • Excellent organizational skills with the ability to manage multiple priorities and handle sensitive information.

Benefits

  • Base salary of $100,000 - $120,000 plus bonus
