About the position

The Executive Assistant / Office Manager at Havelock Wool will provide comprehensive administrative support to senior management while managing daily office operations. This role requires a proactive and organized individual capable of handling multiple responsibilities, coordinating various tasks, and maintaining a smooth workflow in the office. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to work independently.

Responsibilities

  • Manage the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Act as a liaison between management and staff, as well as with external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Assist in project coordination and track progress on key initiatives.
  • Prepare meeting agendas and take detailed minutes when required.
  • Oversee daily office operations and ensure a positive work environment.
  • Manage office supplies, equipment purchasing, and vendor relationships.
  • Develop and implement office policies and procedures to improve efficiency.
  • Organize company events, meetings, and team-building activities.
  • Ensure compliance with health and safety regulations and manage facility-related issues.

Requirements

  • Proven experience as an Executive Assistant, Office Manager, or similar role.
  • Proficient in office software (e.g., MS Office Suite, Google Workspace) and project management tools.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • High level of discretion and professionalism in handling confidential information.
  • Ability to work independently and collaboratively within a team.
  • Bachelor's degree or equivalent work experience required.
