About the position

The Executive Assistant & Office Manager will provide comprehensive administrative support to the executive team while overseeing the day-to-day operations of the office. This dual-role position combines the responsibilities of an Executive Assistant, supporting the executive calendar, communications, and project management, with the duties of an Office Manager, ensuring the office environment runs smoothly and efficiently. The ideal candidate will be a highly organized, proactive, and detail-oriented individual capable of managing both executive-level tasks and office operations simultaneously.

Responsibilities

  • Coordinate and manage the executive's calendar, scheduling meetings, calls, and appointments.
  • Screen and manage communications on behalf of the executive, including phone calls, emails, and mail.
  • Arrange travel, accommodations, and transportation for the executives, preparing detailed itineraries.
  • Assist in the execution and tracking of special projects, ensuring deadlines are met.
  • Organize and maintain both electronic and physical files for easy access and compliance with privacy policies.
  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and functional workspace.
  • Manage office supplies and inventory, ensuring timely ordering and cost control.
  • Liaise with vendors and service providers to ensure timely service delivery.
  • Act as the first point of contact for office staff, visitors, and guests.
  • Ensure that the office complies with health, safety, and legal regulations.

Requirements

  • Bachelor's degree in Business Administration, Office Management, or a related field preferred.
  • 3+ years of experience in an Executive Assistant or Office Manager role, or a combination of both.
  • Experience in Non-Profit Work.
  • Excellent organizational, time-management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong interpersonal skills and the ability to interact effectively with various stakeholders.
