About the position

We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our team of lawyers, handle marketing/networking, and manage daily office operations. This role is essential for ensuring smooth administrative processes and enhancing productivity within the office. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Maintain organized filing systems and ensure all documents are accurately filed and easily retrievable.
  • Assist in event planning by coordinating logistics for meetings, conferences, and company events.
  • Proofread documents for accuracy and clarity before distribution or publication.
  • Handle phone calls with exceptional phone etiquette, directing inquiries to the appropriate parties as needed.
  • Collaborate with other administrative staff to streamline office operations and improve efficiency.
  • Manage and organize office inventory, supplies, and equipment.
  • Ensure compliance with firm policies and procedures.
  • Provide support for special projects as needed.

Requirements

  • High school diploma or equivalent (required)
  • Bachelor's degree in Business Administration or related field (preferred)
  • Proven experience in an executive assistant or office manager role, preferably in a law firm or professional services setting
  • Strong organizational and time management skills, with the ability to multitask and pivot as needed
  • Excellent written and verbal communication skills
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with social media platforms
  • Detail-oriented with strong problem-solving abilities
  • Self-starter with a proactive approach to work and the ability to work independently
  • Comfortable working in a hybrid office environment.
