About the position

The Executive Assistant to the Office of the CEO at Global Citizen plays a crucial role in supporting the CEO and ensuring the smooth operation of the office. This position requires a highly organized and professional individual who can manage a variety of tasks with precision and discretion. The Executive Assistant will be responsible for sophisticated calendar management, which includes scheduling the CEO's daily meetings, calls, and other engagements. This requires constant attention to incoming email requests and ongoing coordination with various stakeholders to ensure that the CEO's time is utilized effectively. In addition to calendar management, the Executive Assistant will serve as a liaison and support for the Board of Directors. This includes managing board meetings and events, staffing, and ensuring that the CEO follows up on any action items that arise from these meetings. The Executive Assistant will also act as the primary point of contact for both internal and external constituents regarding all matters related to the CEO, ensuring that communication flows smoothly and efficiently. Travel coordination is another key responsibility of this role. The Executive Assistant will ensure that all travel arrangements for the CEO are made promptly and will resolve any issues that may arise before, during, or after travel. Meeting management is also a critical aspect of this position, as the Executive Assistant will assist in organizing meetings and events, taking meeting notes, and ensuring that follow-ups are completed as assigned. Furthermore, the Executive Assistant will provide technology assistance as needed and create a welcoming environment for all guests of the Office of the CEO. This role requires a friendly, confident, and assertive personality, as well as the ability to handle confidential information with professionalism and discretion.

Requirements

  • 4+ years' experience at scheduler/assistant level
  • Excellent organizational and multitasking skills
  • Attention to detail and follow-through
  • Strong research and analytical skills
  • Ability to handle confidential information with professionalism and discretion
  • Strong written, verbal, and interpersonal communication skills
  • Excellent editing skills and experience taking meeting minutes
  • Ability to work in a fast-paced environment
  • Good working knowledge of office practices and procedures
  • Excellent working knowledge of Google Suite, Microsoft Suite, iOS/Apple ecosystem, and other organizational web applications (i.e., Asana, Salesforce, Slack)
  • Friendly, confident, and assertive personality
