About the position

The Executive Assistant serves as a vital link between the Chief Financial Officer (CFO) and various stakeholders, including finance staff and external parties. This role is crucial for enhancing the CFO's efficiency and effectiveness by managing their priorities and ensuring smooth operations within the office. The position requires a proactive individual who can operate independently and handle a variety of administrative tasks to support the CFO's leadership.

Responsibilities

  • Provide sophisticated calendar management and prioritize inquiries and requests.
  • Serve as a liaison to internal and external stakeholders, including the Board of Directors and senior leadership team.
  • Complete a broad variety of administrative tasks to facilitate the CFO's leadership.
  • Assist with special projects, design and produce complex documents, reports, and presentations.
  • Develop agendas and synthesize requests and engagements for meetings.
  • Maintain contact lists and arrange travel, lodging, and itineraries.
  • Keep the CFO informed of upcoming commitments and responsibilities.
  • Manage and maintain electronic files of key documents and reports.
  • Respond to inquiries and sensitive correspondence while handling information with integrity and confidentiality.
  • Exercise good judgment in various situations and maintain a balance among multiple priorities.

Requirements

  • Bachelor's Degree and 3 years of experience supporting Senior Management, or Associate's Degree and 4 years of experience, or High School Diploma/GED and 5 years of experience supporting Senior Management.
  • Superior computer skills, including proficiency in Microsoft applications (Excel, Word, PowerPoint, Outlook).
  • Knowledge of Oracle and telecommunication systems.
  • Ability to efficiently retrieve, interpret, and relay messages from various communication platforms.
  • Strong presentation and interpersonal skills.
  • Excellent oral and written communication skills with the ability to draft, edit, and proofread documents.
  • Strong attention to detail and ability to prioritize deliverables.
  • Self-starter with the ability to multi-task and handle changing priorities.
  • Ability to exercise independent judgment and discretion while maintaining confidentiality.
  • Strong financial acumen with experience in investor relations and finance.
