About the position

The Executive Assistant position is a part-time role based in Lancaster, PA, primarily responsible for a wide range of advanced, diverse, and confidential management and administrative duties within a Family Office/C-Suite environment. This role requires sound technical and communication skills, as well as the ability to maintain confidentiality in all services and functions provided. The sensitivity of this position necessitates a moderate level of authority to exercise independent judgment and resolve problems effectively to achieve the objectives of the High Family Office and its owner. The Executive Assistant will support and interact with the highest levels of ownership and governance across the High organization, including Chairs of the Boards, Directors, Trustees, Committee members, and other executive team members. Key activities include understanding corporate governance and ownership structures, producing and maintaining governance documents such as Meeting Agendas, Resolutions, Minutes, and presentations. The role also involves planning and logistical coordination for all meetings and events, including the preparation of presentation materials and their posting to the Board Portal, as well as processing and recording Board and Committee fees and travel expenses. Duties will be executed in a professional manner that aligns with the mission and vision of the organization, adhering to The High Philosophy. Under limited supervision, the Executive Assistant will provide diverse management, administrative, and personal support by performing a wide range of routine and non-routine duties concurrently with professionalism. The ideal candidate will be confident, proactive, flexible, and adaptable in their daily activities, relying on broad experience and sound judgment to plan and accomplish goals in a timely and confidential manner. A wide degree of creativity and latitude is expected in this role, along with the ability to manage tasks that promote the achievement of High Family Office objectives.

Responsibilities

  • Interact with all levels of ownership and the High organization on behalf of High Family Office, maintaining complete confidentiality and appropriate handling of sensitive information.
  • Manage multiple, diverse assignments simultaneously with attention to detail.
  • Prepare complex documents, including compiling and organizing information to compose, prepare, and edit communication in a professional and accurate manner across all levels of the High organization.
  • In coordination with the Chair of the Board and President of High Holdings Corporation, prepare Board and Committee Meeting Agendas, Resolutions, Minutes, and other corporate governance documents and presentations for meetings.
  • Coordinate scheduling, communications, prep timeline, and logistics for Board and Committee Meetings and events, including Board Dinners, lunches, refreshments, travel, education, and management sessions.
  • Coordinate assembly of presentation materials, ensuring that formatting standards are adhered to and information is accurate.
  • Provide administrative support to all aspects of the work of the High Family Office, including Leadership Center programming, displays, and event planning that achieve stated mission and vision for the Center.
  • Manage extremely active business and personal calendars/schedules for the High Family Office team members to ensure efficient operation.
  • Research and collect information necessary to facilitate decision-making, both by assignment and as required.
  • Maintain a comprehensive and current knowledge of the organizational structure, personnel, and their functions within the organization.
  • Demonstrate the tenets of The High Philosophy, abide by the requirements of the Code of Ethics, and support the policies of the organization.

Requirements

  • Bachelors or Associates degree preferred, with an understanding of legal entity structures and corporate governance.
  • Eight to ten years of progressive administrative experience preferred, with a minimum of three years' experience in a professional office environment.
  • Advanced level of understanding of Microsoft Office products and software, particularly PowerPoint.
  • Effective use of the Internet.
  • Excellent organizational skills with the ability to multi-task.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to work in a fast-paced, corporate/C-suite environment.
  • Confidentiality is critical to this role.
