About the position

The Executive Assistant for Partnerships at The Pew Charitable Trusts provides essential administrative support to the Senior Vice President (SVP) for Partnerships. This role is crucial in managing the SVP's scheduling, travel arrangements, and document flow, ensuring that all meetings and events are well-organized and that the SVP is fully prepared. The Executive Assistant will also coordinate internal and external communications, manage databases, and assist with fundraising activities, all while maintaining a high level of professionalism and discretion.

Responsibilities

  • Perform general administrative duties including scheduling, meeting planning, and travel arrangements for the SVP.
  • Screen incoming mail and phone calls, directing them appropriately.
  • Prepare the SVP for meetings with necessary information and materials.
  • Participate in departmental meetings and maintain an understanding of the workflow within Partnerships.
  • Manage data in Salesforce and PeopleSoft, ensuring confidentiality and integrity.
  • Coordinate correspondence and assist with the development of various documents for Partnerships activities.
  • Support project management and fill in for other administrative team members as needed.

Requirements

  • High school diploma or equivalent experience required.
  • 10 years of administrative experience required.
  • Discretion in handling confidential information.
  • Outstanding organizational skills and ability to manage multiple tasks with different deadlines.
  • Strong writing, editing, and proofreading skills.
  • Excellent verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with SharePoint and Salesforce.

Nice-to-haves

  • Experience with PeopleSoft and CRM systems.
  • Knowledge of fundraising processes and grant writing.
