About the position

The Executive Assistant to the Chief People & Culture Officer at Mediavine provides high-level executive support, acting as a primary liaison for internal and external contacts. This role involves organizing and coordinating scheduling, outreach, and special projects, requiring strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Be a trusted partner to the CPCO, organizing current needs and anticipating potential conflicts.
  • Efficiently manage a high volume calendar and handle scheduling requests.
  • Attend meetings with or on behalf of the CPCO, prepare detailed agendas, and track action items.
  • Manage the POPs team's workspace in Notion to ensure alignment with organizational goals.
  • Assist in the preparation of communication needs in Slack, Notion, or other platforms.
  • Provide administrative support in drafting and reviewing documents and presentation materials.
  • Proactively coordinate onsite and offsite meetings, including all logistics.
  • Manage all travel scheduling and arrangements for the CPCO.
  • Ensure consistent and efficient interaction with colleagues across the company.
  • Provide specialized project support and additional tasks as needed.

Requirements

  • Bachelor's Degree in Business or related field, preferred.
  • 7+ years experience providing high-level administrative support to executives.
  • 3+ years of experience providing executive support in a remote capacity.
  • Current experience supporting an executive in HR/People Operations, preferred.
  • Strong proficiency with Google Suite and Slack, required.
  • Experience using Mac computers and Apple software, required.
  • Experience with productivity tools such as Notion, preferred.
  • Extensive schedule and travel management experience.
  • Strong relationship management skills and ability to build a personal network.
  • Outstanding organizational and time management skills.
  • Excellent verbal and written communications skills.

Nice-to-haves

  • Experience with the setting up and management of virtual meetings and tools.
  • Experience providing concierge level support for executive travel and events.
  • Keen attention to detail and accuracy.
