About the position

The Sr. Executive Personal Assistant will provide high-level administrative support to a multi-departmental leadership team, acting as a liaison between executives and the rest of the organization. This role requires exceptional organizational skills, the ability to manage high-volume scheduling, and a proactive approach to problem-solving in a fast-paced environment.

Responsibilities

  • Notetaking for all meetings with follow-up and identification of action items.
  • Coordinate and maintain high volume scheduling for meetings, events, appointments, and travel arrangements.
  • Manage email correspondence, flagging essential messages for review.
  • Work closely with the CEO, Chief of Staff, and executive leadership to keep them informed of commitments and follow up as necessary.
  • Quickly schedule and set up internal and external meetings in various formats.
  • Uphold a high level of discretion and confidentiality.
  • Adapt and solve conflicts or blockers quickly and effectively.
  • Remain highly responsive and culturally aware.
  • Collaborate across departments to ensure consistent scheduling arrangements.
  • Maintain and manage automations and workflows, assisting with platforms like Airtable, Slack, and Teamwork.
  • Assist on special projects as needed.

Requirements

  • Minimum Bachelor's degree required.
  • 5+ years of coordinator or executive assistant experience required.
  • Project management certification is a plus.
  • Proactive self-starter with high attention to detail.
  • Superior ability to identify and follow up on action items and tasks.
  • Ability to pivot with frequently changing priorities.
  • Robust experience handling heavy calendaring and project coordination.
  • Strong organizational skills while managing multiple projects and deadlines.
  • Excellent judgment, critical thinking, and decision-making skills.
  • Excellent verbal and written communication skills.

Nice-to-haves

  • Experience supporting C-suite executives preferred but not required.
  • Prior experience working with automations and workflows is a plus.
  • Knowledge of CRMs and database management is a bonus.
