About the position

The Executive Assistant will play a crucial role in supporting senior team members at a prestigious private equity firm. This position involves managing complex calendars, coordinating travel arrangements, and ensuring seamless office operations. The Executive Assistant will also partner with other administrative staff to facilitate firm events and maintain effective communication across business and personal schedules.

Responsibilities

  • Management of complex calendars and scheduling meetings.
  • Oversee meeting arrangements and logistics.
  • Coordinate travel, including flights, accommodation, and ground transportation.
  • Prepare detailed itineraries for travel.
  • Provide support to senior team members by booking travel and making appointments.
  • Ensure continuity across business and personal calendars.
  • Partner with other admin staff to support day-to-day office management.
  • Organize office correspondence with service providers and manage meeting setups.
  • Handle supply purchases and greet guests.
  • Provide back-up support to other Executive Assistants when out of the office.
  • Plan and execute firm events both in-office and externally.
  • Review office spending and reconcile monthly Amex statements.
  • Manage access card distribution and parking access.

Requirements

  • Minimum of 3+ years of Executive Assistant experience in the finance space supporting executives with busy traveling and calendaring.
  • Expertise in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • A four-year college degree is a plus.
