About the position

Toyota's Production Engineering Department is seeking a passionate and highly motivated Executive Administrative Assistant. This role is crucial in supporting, streamlining, and often predicting the needs of the executive. The ideal candidate will possess a diverse knowledge base and a variety of skills essential for excelling in this demanding position. The Executive Administrative Assistant will manage the executive's calendar, schedule appointments, arrange travel, and organize meetings. They will also prepare meeting agendas, minutes, and presentations, handle and prioritize emails, phone calls, and incoming requests, manage expense reports, and draft correspondence and reports as needed. Additionally, the assistant will assist with research and project management, creating presentations for executive meetings. To thrive in this role, the candidate must have a high school diploma or higher and experience in administrative support, including document management processes or systems. The ability to manage multiple tasks simultaneously, maintain privacy and confidentiality, and adapt to the changing needs of the executive is essential. The position may require availability during off-hours to manage disruptions in executive travel and the ability to travel up to 10% of the time, if not less. A genuine interest in Japanese culture and business practices, along with automotive industry experience, is a plus.

Responsibilities

Requirements

  • High school diploma or higher level of education.
  • Experience in administrative support, including document management processes or systems.
  • Availability in off-hours to manage disruptions in Executive travel.
  • Experience in MS Office (Word, PowerPoint, Excel, Outlook), and/or SharePoint.
  • Ability to manage multiple tasks at once.
  • Strong ability to maintain privacy and confidentiality.
  • Flexibility and ability to book travel and manage calendars based on the changing needs of the executive(s).
  • Ability to identify and manage meetings based on priority.
