About the position

The Executive Assistant position at United Way of Dane County is designed to provide comprehensive administrative support to the President & CEO, Vice Presidents, and other leadership team members. The role involves managing various administrative tasks, facilitating communication, and ensuring effective collaboration with community stakeholders. The Executive Assistant will play a crucial role in enhancing the organization's impact through strategic partnerships and community engagement, while also supporting the leadership team in achieving the organization's mission of fostering education, financial stability, and health in Dane County.

Responsibilities

  • Manage all administrative tasks for the President & CEO, including scheduling, meeting management, and correspondence.
  • Assist with volunteer committee meeting duties, including creating schedules and preparing meeting materials.
  • Serve as a liaison among employees, community executives, and external partners on behalf of the President & CEO.
  • Create and distribute staff communication updates and manage Executive Office communications.
  • Develop proficiency with organizational databases and respond to data requests from the President & CEO.
  • Coordinate preparation of meeting agendas and provide administrative support for leadership events.

Requirements

  • Associate degree in administrative services, communications, or related field, or equivalent experience.
  • 3-4 years of administrative and communications experience in an office environment, preferably with CEOs.
  • Highly effective written and oral communication skills.
  • Ability to work well with diverse individuals and cultures in a professional manner.
  • Strong organizational and time management skills with high attention to detail.
  • Proficiency with Microsoft Office, including Microsoft 365, PowerPoint, and spreadsheets.
