About the position

The Project Coordinator (Executive Assistant) role is focused on providing multi-tasking administrative support to the Bureau of Health Professions Licensure and Multi-Boards. This position involves maintaining office procedures, assisting in the coordination of board meetings, and managing correspondence related to board regulations and licensing laws. The role requires proficiency in various Microsoft software programs and involves processing license applications and responding to inquiries from various agencies.

Responsibilities

  • Maintain office operating procedures and assist in developing and coordinating implementation of new ones with the input and approval of the Executive Director.
  • Assist the Executive Director and/or Assistant Executive Director in maintenance of all Board meeting minutes; schedules meetings and maintains appropriate electronic meeting/event calendars.
  • Answer routine office correspondence relative to board regulations, policies, and licensing laws.
  • Update and generate computerized data and correspondence.
  • Operate Microsoft Word, Access, Excel, Mail Merge, and PowerPoint software programs proficiently.
  • Maintain files and records such as complaint, correspondence, electronic and telephone responses/inquiries.
  • Receive walk-in, written, e-mail and telephone inquiries and answer or refer them to appropriate parties for action.
  • Draft letters, memoranda, and reports for review by Executive Director.
  • Process license applications and maintain entries in the licensing database.
  • Responds to inquiries and provides information to various local, state, and federal agencies and professional organizations as needed.
  • Support Executive Director in the coordination and implementation of regulations governing certification and practice for the new Board as assigned.
  • Process applications for licensure and other required forms under the direction of the Executive Director for new Boards as assigned.

Requirements

  • Proficiency in Microsoft Word, Access, Excel, Mail Merge, and PowerPoint software programs.
  • Experience in administrative support roles, preferably in a fast-paced environment.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.

Nice-to-haves

  • Experience in a government or regulatory environment.
  • Familiarity with health professions licensure and board regulations.
