About the position

The Executive Assistant Project Manager will play a crucial role in supporting a one-man operation that manages multiple subcontractors and outsourced consultants. This position is integral to the company's diverse operations, which include development, investment management, design architecture, entitlement processes, Airbnb rental management, decorations, and construction management. The ideal candidate will be responsible for a variety of tasks that ensure the smooth running of projects and operations, requiring a blend of administrative skills and project management expertise. In this role, the Executive Assistant will analyze future engagements to evaluate their feasibility and provide recommendations. They will also be tasked with evaluating contract payment requests, making decisions on whether payments are qualified, and developing and managing punch lists for project completion. Marketing and operational management for vacation rentals will be a significant part of the job, including making critical decisions regarding team hiring and firing. The candidate will negotiate with government authorities for project entitlements and manage contract pricing and terms for hiring contractors. Budgeting for projects and consulting on next steps will also be essential responsibilities. Additionally, the Executive Assistant will oversee office management tasks, including accounting oversight and fraud detection. The role requires excellent organizational skills, the ability to multitask effectively, and a strong command of the English language, both written and spoken. The candidate must also be prepared to undergo a background check prior to hiring, as part of the company's hiring process.

Responsibilities

  • Analyze future engagements to evaluate feasibility and make recommendations.

Requirements

  • Experience using Google Suite (Drive, Docs, Sheets, etc.).
  • Excellent written and spoken English skills.
  • Minimum typing speed of 70 WPM.
  • Ability to multitask effectively.
  • Prior experience with vacation rental management is a plus.
  • Strong organizational skills.
